1. Overview
This Privacy Policy explains how Gymizen collects, uses, stores, and shares information when people visit the Gymizen website, request a demo, create an account, or use the Gymizen gym and studio management platform.
The Services are designed for businesses such as gyms, boutique fitness studios, martial arts schools, wellness centers, and similar operators. In many cases, customer organizations decide what information is collected from their members and how that information is used inside the platform.
2. Information we collect
We collect information you provide directly, such as when you request a demo, contact Gymizen, start a trial, create an admin account, upload branding assets, configure settings, or submit forms through the Services.
We also collect operational information generated through platform use, such as organization settings, staff and member records, schedules, reservations, attendance data, outreach drafts, concierge approvals, billing-related events, and usage logs.
- Contact details such as name, email address, company or organization name, and phone number if provided.
- Account and profile information for admins, staff, and members.
- Class, reservation, attendance, package, membership, and schedule information.
- Device, browser, log, and diagnostic information needed to operate and secure the Services.
3. How we collect information
We collect information directly from you, from customer administrators who configure their tenant, from member interactions with the Services, and from connected third-party services such as payment providers, messaging providers, analytics tools, or other business integrations enabled by the customer.
We may also collect technical information automatically, including log data, authentication events, and device or session information used to secure and improve the platform.
4. How we use information
We use information to provide the Services, authenticate users, power reservations and member workflows, generate reports, support concierge recommendations, communicate with customers, maintain the security of the platform, and improve product quality.
We may use information to monitor performance, troubleshoot issues, enforce platform rules, prevent abuse, and understand how customers use the product. Where permitted, we may also use business contact information to communicate about onboarding, product updates, and commercial discussions.
5. How AI-assisted features use data
Gymizen concierge features may review platform data such as attendance patterns, class activity, package status, prior outreach, and similar operational context in order to generate issue detection, prioritization, summaries, and draft actions.
Customers are responsible for determining whether and how to use AI-assisted outputs in their operations. Gymizen does not use customer content to market directly to customer members on the customer’s behalf unless the customer explicitly triggers that behavior through the Services.
6. Sharing and disclosure
We do not sell customer data. We may share information with service providers that help us host, secure, support, and operate the Services, such as infrastructure providers, email providers, support tools, analytics tools, and payment or integration partners selected by Gymizen or enabled by the customer.
We may disclose information where required by law, to enforce our rights, to investigate fraud or security issues, or in connection with a merger, financing, acquisition, or asset sale involving Gymizen.
7. Customer control and roles
When a customer uses Gymizen to manage its own staff and members, that customer typically decides what information is collected, what notices are shown, and how long the information is kept. In that context, the customer may act as the primary controller of that information, while Gymizen acts as a service provider or processor supporting the customer’s use of the Services.
If you are a member of a studio or gym that uses Gymizen and have questions about the information that business collects from you, you should also contact that business directly.
8. Data retention
We retain information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, maintain backups, and support legitimate business operations.
Retention periods may vary depending on the type of information, the customer relationship, the sensitivity of the data, and applicable legal or operational requirements.
9. Security
We use reasonable technical and organizational measures intended to protect information against unauthorized access, loss, misuse, or alteration. No system is perfectly secure, and we cannot guarantee absolute security.
Customers are responsible for using strong credentials, configuring access appropriately, and notifying Gymizen promptly if they suspect unauthorized access to their tenant.
10. International transfers and legal rights
Gymizen may process information in the United States and other locations where Gymizen or its service providers operate. By using the Services, you understand that information may be transferred to and processed in jurisdictions that may have different data protection laws than your own.
Depending on your jurisdiction, you may have rights to request access to, correction of, deletion of, or limitation on the use of certain personal information. We may need to verify your identity before responding to a request.
11. Children’s privacy
The Services are intended for business and operational use and are not directed to children. If we learn that we have collected personal information from a child in a manner that requires parental consent and that consent was not obtained, we will take steps to delete that information as required by law.
12. Changes and contact
We may update this Privacy Policy from time to time. If we make a material change, we may update the effective date on this page and provide additional notice through the Services or by email where appropriate.
